How to Access This Setting?
To add staff to a department:
Go to the Department section from the left menu.
Open the Staff Members tab.
Click the Add Staff button at the top right of the Staff Members section.
Choose either Create New Staff or Bulk Import.
Organization Managers and Department Managers with access to the department can manage staff members.
Adding Staff Individually
With the Create New Staff option, staff details can be defined individually.
The Add Staff Members screen includes four tabs:
General
Hours
Departments
Overtime
Each tab is used to define a different part of the staff member’s information and planning-related settings.
General
In this tab, the staff member’s basic information is entered.
You can define:
Full Name
Personnel Code
Group
Employment Start Date
Part-time Staff
Communication Type
Email
Phone
Full Name
Enter the staff member’s full name.
This name will be displayed in staff lists and schedules.
Personnel Code
The Personnel Code field can be used for an internal employee number or staff identification code.
This field is optional.
Group
The Group field is used if staff groups are defined in the department.
Groups can represent different roles, qualifications, teams, or seniority levels.
For example:
Senior
Junior
Nurse
Doctor
Technician
If no group is selected, the staff member remains as No Group.
Employment Start Date
The Employment Start Date field is used to define the staff member’s starting date.
Part-time Staff
Select Part-time Staff if the staff member works part-time, then enter their part-time work hours in the Part time work hours field.
Communication Type
This section is used to enter the staff member’s contact information.
You can enter:
Email
Phone
Hours
In this tab, the staff member’s working hour limits and shift work count limits are defined.
The Hours tab contains two main sections:
Working Hours Range
Shift Work Count Limits
Working Hours Range
In this section, you can define minimum and maximum working hour limits for the staff member.
The available day types are:
Weekly
Monthly
For each day type, you can define:
Min Work Hours
Max Work Hours
In these fields, you can define only minimum, only maximum, or both together.
These values can be set individually for each staff member or updated in bulk for multiple selected staff members.
Important:
Defined hour limits are considered hard constraints and are strictly enforced by the automatic planning algorithm.
These hour conditions:
Must always be satisfied.
Must be compatible with each other.
Must be compatible with the shift structure.
Must be compatible with leave entries and other planning rules.
If these conditions cannot be met, the algorithm may return an infeasible result and the schedule cannot be created.
Shift Work Count Limits
This section is used to define how many times the staff member can work specific shifts.
Each active shift in the department is listed separately.
For each shift, limits can be defined for:
Week
Month
For each period, you can enter:
Min count
Max count
For example, if the department has a shift named Morning, you can define how many times this staff member can or should work that shift within a week or month.
This setting is useful when:
A staff member should work a specific shift only a limited number of times.
A staff member must work a specific shift at least a certain number of times.
Certain shifts need to be distributed more carefully.
Some staff members should not be assigned too often to a specific shift.
Shift work count limits can also be updated in bulk for multiple selected staff members.
Important:
Shift work count limits must be compatible with working hour limits, staffing requirements, leave entries, and other constraints.
If these limits conflict with other rules, the schedule may become infeasible.
Important Considerations
When defining hour limits and shift work count limits, shift durations and leave entries must be evaluated together.
Example 1
There are only 2 shift types in this department.
Each shift is 11 hours.
Weekly minimum hours are defined as 44.
The staff member has 4 days of unpaid leave.
In this case, even if the remaining available days are worked, the weekly minimum hours may not be reached.
Therefore, planning can become infeasible.
Example 2
Similarly:
Weekly maximum hours are defined as 55.
Each shift is 11 hours.
If the shift structure requires assigning 6 shifts to a staff member, the total working time becomes 66 hours.
In this case, the maximum hour condition cannot be satisfied, and the algorithm may return an infeasible result.
Example 3
A staff member has a weekly maximum count of 2 for the Morning shift.
However, due to staffing requirements and staff availability, the schedule requires assigning this staff member to the Morning shift 3 times in the same week.
In this case, the shift work count limit cannot be satisfied.
Since the algorithm cannot assign the staff member to the Morning shift more than the defined maximum count, the schedule may become infeasible.
Note:
The algorithm does not assign shifts in a way that violates defined hour limits or shift count limits.
These limits are hard constraints.
Hour limits and shift count limits entered by the user must be evaluated together with shift durations, leave entries, staffing requirements, and other planning rules.
If all constraints cannot be satisfied simultaneously, no solution can be generated.
In such cases:
The staff member’s minimum or maximum hour values should be updated.
Shift work count limits should be revised.
The shift structure or leave entries should be reviewed.
Or that staff member should not be planned with that workload.
Departments
This tab is used to determine whether the staff member can be suggested as a support resource in other departments.
The section is called Supported departments.
In this tab, you can:
Search departments
Select departments one by one
Use Select All to select all available departments
A staff member is primarily defined only in the department they are added to.
Selecting a department under Supported departments does not include the staff member in automatic planning for those departments.
This setting means:
In another department’s schedule, if a manual change is made,
For example, if a staff member reports sick or a shift becomes uncovered,
When the Smart Scheduling Assistant suggests replacements for missing shifts,
If this staff member is defined as support and is available in their own schedule,
They may appear in the suggestion list.
In other words:
The staff member is not included in another department’s automatic planning process.
The staff member is not moved to another department.
The staff member is only evaluated during the manual suggestion phase after a manual intervention.
Overtime
When adding a new staff member, overtime tracking is not available immediately.
The Overtime tab displays the message:
Save the staff member first to track overtime.
This means the staff member must first be created and saved before overtime information can be tracked.
After the staff member is saved, overtime information can be managed from the staff member’s edit screen.
Saving the Staff Member
After entering the necessary information, click Add Staff Member to create the staff member.
The Add Staff Member button may remain disabled until the required fields are completed.
You can also click Cancel or close the window if you do not want to add the staff member.
Bulk Import
With the Bulk Import option, multiple staff members can be added at once.
With this method:
Staff names can be entered separated by commas.
A list of names can be copied and pasted from a source such as Excel.
After entering or pasting the staff names, click Add Staff Members to complete the import.
Important:
During bulk import, only basic staff information is captured.
Working hours, shift work count limits, supported department assignments, group information, communication details, and overtime-related information must be configured afterward.
Bulk Edit
From the Staff Members tab, you can select multiple staff members using the checkboxes and update their settings at the same time.
After selecting the staff members, click Edit.
With bulk edit, you can update:
Group
Weekly minimum and maximum work hours
Monthly minimum and maximum work hours
Shift work count limits
If the selected staff members have different existing values, the relevant field is displayed as Mixed.
You can:
Enter a new value to apply it to all selected staff members.
Leave the field as Mixed to keep the existing individual values unchanged.
Selected staff members can also be removed in bulk by clicking Remove Staff.
