Create and Manage Leave

Create organization-level Rest Day and Paid Leave options for Department Managers to assign to staff in HR Planning.

Overview

The Leave page allows Organization Managers to create and manage the leave options available across the organization.

Department Managers use these options to add leave for staff in their own departments through HR Planning. Leave added in HR Planning is automatically synchronized across all schedules for the department.

From the Leave page, Organization Managers can:

  • View and search existing leave options.

  • Create Rest Day and Paid Leave options.

  • Configure Paid hours per day and Consecutive days required.

  • Edit or delete existing leave options.


How to Access Leave

  1. Go to Organization from the left menu.

  2. Open the Leave tab.

Create Leave

  1. Click Add Leave.

  2. Enter a name for the leave.

  3. Select the Leave Type:

    • Rest Day

    • Paid Leave

  4. Complete the fields displayed for the selected Leave Type.

  5. Click Add Leave.


Leave Types

Rest Day

Select Rest Day when the leave represents an unpaid rest day.

Rest Days are not included in the staff member’s working-hour calculations.

When Rest Day is selected, configure the following setting:

  • Consecutive days required: Defines the number of consecutive days included when the leave is added in HR Planning.

Paid Leave

Select Paid Leave when the leave represents a paid absence.

When Paid Leave is selected, configure the following settings:

  • Paid hours per day: Defines the number of paid hours recorded for each day of leave. These hours are included in the staff member’s working-hour calculations.

  • Consecutive days required: Defines the number of consecutive days included when the leave is added in HR Planning.

Consecutive Days Required

The Consecutive days required setting determines the number of consecutive days included in the leave block created in HR Planning.

For example, if the value is set to "3", adding the leave to a staff member creates a single leave block covering three consecutive days. The days are part of the same leave block rather than separate leave entries.

When a leave option is edited and Consecutive days required is changed, the new value applies only to leave blocks added afterward. For example, if the value is changed from 3 days to 2 days, existing 3-day leave blocks in HR Planning remain unchanged, while newly added leave blocks cover 2 consecutive days.


View and Search Leave

The Leave page displays the leave options created for the organization.

Use the search field to find a leave option by name.

The table displays the following information:

  • Days Off Name

  • Created Date

  • Leave Type

  • Paid Hours

Edit Leave

To edit an existing leave option:

  1. Find the leave on the Leave page.

  2. Click the three-dot menu next to the leave.

  3. Select Edit.

  4. Update the required information.

  5. Click Update Leave to save your changes.

Delete Leave

To delete an existing leave option:

  1. Find the leave on the Leave page.

  2. Click the three-dot menu next to the leave.

  3. Select Delete.

  4. Review the confirmation message.

  5. Click Yes, Delete.


How Leave Is Used in HR Planning

Leave options are created at the organization level. Department Managers then use these options to add leave manually for staff in their own departments through HR Planning.

Leave entered in HR Planning is automatically synchronized across all schedules for the department. The same leave does not need to be entered separately in each schedule.


Important Considerations

  • Leave options are created and managed at the organization level.

  • Department Managers add leave for staff in their own departments through HR Planning.

  • Rest Day is not included in working-hour calculations.

  • Paid Leave includes the configured Paid hours per day in working-hour calculations.

  • Consecutive days required determines the initial length of the leave block added in HR Planning.

  • Leave entered in HR Planning is automatically reflected across all schedules for the department.
