Create a New Shift

This article explains how to create a new shift in Oplist, how to activate it in a department, and how to configure its settings.

About the Shift Structure

In Oplist, shifts are managed at two levels:

  • A Global Shift is created by the Organization Manager and shared across all departments.

  • Departments activate the global shifts that fit their needs and configure department-specific settings.

Core shift definitions and rules are set at the global level, while planning-specific configurations are managed at the department level.

1. Creating a Global Shift

Global shifts can only be created or edited by users with the Organization Manager role.
They are shared across all departments.
​Exclude and Requirements settings, however, are defined at the department level.

To create a Global Shift:

  • Go to the Organization section from the left menu.

  • Open the Global Shifts tab.

  • Click the Create Global Shift button located in the upper right corner.

In the opened window, under the General tab, complete the following fields:

  • Shift Name: Enter the name of the shift.

  • Start Time and End Time: Define the working hours of the shift.

  • Break Definition:
    If you want to define a break, activate the Break Time option.

    Break duration can be defined in two ways:

    • Fixed Time: Define the start and end time of the break.

    • Duration: Enter the break duration directly (e.g., 30 minutes, 1 hour).

    The defined break duration is deducted from the total working time and included in calculations.

  • Shift Icon: Select an icon representing the shift.

Then navigate to the Rules tab.

These settings ensure the shift is defined consistently across all departments.

After entering all information, click the Create Shift button to complete the process.

2. Activating the Shift in a Department

To use a created Global Shift in a department, it must be activated.

  • Go to the Department section from the left menu.

  • Open the Shifts tab.

  • Enable the toggle button next to the shift you want to use.

This makes the shift available in the selected department.


3. Configuring Shift Details for a Department

Click the edit (pencil) icon next to the activated shift to access department-specific settings.

This screen contains four main sections:

3.1 General

This tab displays limited shift settings.

The following fields are defined during global shift creation and cannot be changed at the department level:

  • Shift name

  • Start and end times

  • Break duration

  • Shift icon

Field editable at the department level:

  • Shift Color: A color can be selected to visually distinguish the shift in the schedule.

3.2 Rules

This tab displays the scheduling rules applicable to the shift:

  • Rules applied after the shift ends

  • Period-based shift assignment limits (Limit shift assignments per period)

Since these rules are defined at the global level, they cannot be modified at the department level.

3.3 Exclude

In this section, you can select staff members who should not work in the shift.

  • Selected staff are excluded from automatic scheduling for this shift.

  • This setting is valid at the department level.

3.4 Requirements

In this section, you define how many staff members are required for the shift on each day.

  • Daily staff requirement can be defined as:

    • Min / Max range, or

    • Exact number of staff.

  • If staff groups (e.g., Senior / Junior) are defined, separate requirements can be added for those groups.

These settings are department-specific and are taken into account during scheduling.
