Overview
Global Shifts are organization-level shift templates created and managed by Organization Managers.
They provide shared shift information and organization-level settings that departments can use in their schedules. Departments select the Global Shifts they need and configure the available department-specific settings.
A Global Shift can be used by multiple departments.
Global and Department Shift Settings
Global Shift settings provide the organization-level definition of a shift.
The following information is defined at the organization level and cannot be changed by departments:
Shift name.
Start and end times.
Break time settings.
Shift icon.
Post-shift assignment rule.
Real Off behavior after the shift.
The Limit shift assignments per period setting is also defined at the organization level, but it can be overridden for an individual department.
Departments can configure additional department-specific settings for the Global Shifts they use. These settings will be explained in Select and Configure Shifts for a Department.
How to Access Global Shifts
To access Global Shifts:
From this page, Organization Managers can:
View existing Global Shifts.
Search and filter Global Shifts.
See which departments are using each shift.
Create a Global Shift.
Edit or delete an existing Global Shift.
Manage the organization-wide Real Off setting.
Viewing Global Shifts
The Global Shifts table displays the following information:
Name: The name and icon of the shift.
Time: The shift’s start and end times.
Last Update: The date on which the shift was last updated.
Departments Using: The departments currently using the Global Shift.
If a Global Shift is not used by any department, None is displayed under Departments Using.
Click the edit icon at the end of a row to open an existing Global Shift.
Creating a Global Shift
To create a Global Shift:
Go to Organization > Global Shifts.
Click Create Global Shift.
Complete the settings under the General tab.
Configure the applicable options under the Rules tab.
Click Create Shift.
The Create Shift button remains unavailable until the required information has been entered.
General Settings
The General tab contains the Global Shift’s basic information.
Shift Name
Enter a name that clearly identifies the shift, such as:
Morning
Night
Full Day
A Shift Name can contain up to 30 characters.
Start Time and End Time
Select the time at which the shift starts and ends.
The start and end times define the shift’s working period.
A shift can continue into the following day. For example, a Night shift can start at 20:00 and end at 08:00 the next day.
Break Time
Enable Break Time if the shift includes a break. You can define the break using either Fixed Time or Duration.
Fixed Time
Select Fixed Time to specify when the break starts and ends.
Enter the Start Time.
Enter the End Time.
Oplist automatically calculates and displays the Break Duration based on the selected times.
Duration
Select Duration when only the length of the break needs to be defined, without specifying its start and end times.
Select the break length from the Duration of Break menu. Available durations range from 0 minutes to 180 minutes, in 30-minute intervals.
Oplist displays the selected value as the Break Duration.
The configured break duration is included in the Global Shift’s break settings and is shared with departments using that shift.
Shift Icon
Select an icon that visually represents the shift.
The selected icon helps users identify the shift in schedules, assignment lists, and other planning areas.
Shift Rules
The Rules tab contains the scheduling rules associated with the Global Shift.
Available settings include:
A rule applied after the shift ends.
Limit shift assignments per period.
Allowing Real Off to be set after the assignment.
Post-Shift Assignment Rule
Select the rule that should apply after the shift ends.
The available options are:
No restrictions for the following days
Restrict specific shifts on the following day
Staff is unavailable the next day
When Restrict specific shifts on the following day is selected, choose the shifts that cannot be assigned on the day following this shift.

Limit Shift Assignments per Period
Enable Limit shift assignments per period to limit how many times the Global Shift can be assigned to a staff member within a defined number of days.
When enabled, define:
Period (Days): The number of days included in the period.
Max # of assignments in the period: The maximum number of times the shift can be assigned to the same staff member during that period.
This value provides the organization-level setting for the Global Shift. It can also be customized at the department level.

Real Off
When Real Off Usage is enabled, use this setting to determine whether the day following this Global Shift can count as a Real Off day.
This setting applies only to the selected Global Shift. For more information, see Configure Real Off Eligibility for Global Shifts below.
Editing a Global Shift
To edit an existing Global Shift:
Find the shift in the Global Shifts table.
Click the edit icon at the end of its row.
Update the settings under General or Rules.
Click Update Shift.
Changes made here update the organization-level Global Shift definition.
Before editing a Global Shift, review the Departments Using column to see which departments currently use it.
Deleting a Global Shift
To delete a Global Shift:
Open the shift using the edit icon.
Click Delete.
In the confirmation dialog, click Yes, Delete.
Before deleting a Global Shift, review the Departments Using column to determine whether it is currently used by any department.
Searching for Global Shifts
Use the Search field to find a Global Shift by name.
Enter all or part of the shift name to narrow the displayed results.
Filtering Global Shifts
Click Filters to filter the Global Shifts list.
The available filters are:
Department: Displays Global Shifts used by the selected department.
Last Update Date Range: Displays Global Shifts updated within the selected date range.
After selecting the filter values, click Apply Filters.
Click Reset to clear the selected filters.
Configure Real Off Eligibility for Global Shifts
When Real Off Usage is enabled, each staff member must receive at least one Real Off day per week. This requirement is enforced as a hard constraint when generating an auto schedule.
When you enable Real Off Setting from the Global Shifts page, the Real Off Selector opens. This allows you to configure which Global Shifts can be followed by a day that counts as Real Off.
For each Global Shift:
Enable the toggle if the following day can count as Real Off.
Leave the toggle disabled if the following day cannot count as Real Off.
After configuring the shifts, click Save Changes.
You can later change this setting for an individual Global Shift:
Open the Global Shift using the edit icon.
Go to the Rules tab.
Enable or disable the Real Off setting.
Click Update Shift.
The Real Off setting in the Rules tab is available only when organization-wide Real Off Usage is enabled.
For example, a Night shift starts on Monday and ends on Tuesday morning. If the Real Off toggle is disabled for the Night shift, the day following the shift cannot count as Real Off. Therefore, even if the staff member has no assignment on Tuesday, Tuesday does not satisfy the weekly Real Off requirement. Another eligible day without an assignment must count as the staff member’s Real Off day.

Important Considerations
Global Shifts are created and managed by Organization Managers.
A Global Shift can be used by multiple departments.
Departments select the Global Shifts they need.
Of the settings defined for a Global Shift, only Limit shift assignments per period can be overridden at the department level.
Other Global Shift settings remain unchanged when the shift is used by a department.
Departments can configure additional department-specific settings for the Global Shifts they use.
A department-level configuration does not change the original Global Shift.
Review the Departments Using column before editing or deleting a shift.
Post-shift rules affect which assignments can follow a shift.
Period limits control repeated assignments of the same shift.
Real Off options depend on the organization-wide Real Off Usage setting.
