Add and Manage Team Members

The Team Members page allows you to invite users to your Oplist account, assign roles and departments, and manage both active users and pending invitations.

How to Access Team Members

To access Team Members:

  1. Go to Organization from the left menu.

  2. Open the Team Members tab.

The page displays each team member’s full name, status, title, personnel code, email address, phone number, assigned role, group, and department. Use the Search by name field to find a specific team member.


How to Invite a Team Member

To invite a new team member:

  1. Click Invite Team Members.

  2. Enter the team member’s Full Name.

  3. Enter their Title.

  4. Enter their Personnel Code.

  5. Select the appropriate Role.

  6. Review the permissions displayed for the selected role.

  7. Complete the department-related fields displayed for that role.

  8. Enter the team member’s Email address.

  9. Enter their Phone number.

  10. Click Send Invite.

Department-Related Fields

The department-related fields change according to the selected role:

  • Organization Manager: The Department Groups field appears. Select one or more department groups from the available options.

  • Department Manager: The Department Group and Department fields appear. First, select one department group, and then select one or more departments within that group.


How Team Members Complete Registration

After the invitation is sent, the team member receives an email from [email protected] with the subject line Complete Your Registration.

The registration link is valid for 7 days from the date the invitation is sent.

To complete the registration:

  1. Open the invitation email.

  2. Click Complete Registration.

  3. Create and confirm a password.

  4. Accept the required agreements.

  5. Complete the registration.

Once registration is complete, the team member can sign in to Oplist using the assigned role and permissions.


How to Manage a Pending Invitation

Until the invited team member completes registration, their status appears as Invite Sent on the Team Members page.

Open the action menu next to the pending invitation to view the available options.

Edit

Select Edit to update the invited team member’s information, assigned role, or department assignments.

Copy Verification Link

Select Copy verification link to copy the registration link and share it directly with the invited team member.

The copied link uses the same expiration date as the original invitation.

Cancel Verification Links

Select Cancel verification links to deactivate all pending registration links for the team member. A confirmation message appears when the links have been deactivated.

The team member remains on the Team Members page with the Invite Sent status. After cancellation, only the Edit and Delete actions are available.

Delete

Select Delete to remove the team member from the Team Members list. This option is available for both pending and active team members.


How to Edit a Team Member

To edit an existing team member:

  1. Find the team member on the Team Members page.

  2. Open the action menu next to the team member.

  3. Select Edit.

  4. Update the team member’s information, including their role and department assignments.

  5. Save your changes.

The available department-related fields change based on the selected role, as described in the Department-Related Fields section above.


How to Delete a Team Member

To remove an existing team member:

  1. Find the team member on the Team Members page.

  2. Open the action menu next to the team member.

  3. Select Delete.

  4. Confirm the action.

The team member is removed from the Team Members list.


Important Considerations

  • An email address cannot be invited again while an invitation for that address is pending.

  • An email address already registered in Oplist cannot be invited to another Oplist account.

  • Registration links are valid for 7 days from the date the invitation is sent.

  • An Organization Manager can be assigned to one or more department groups.

  • A Department Manager can be assigned to one department group and one or more departments within that group.

  • Copy Verification Link copies the active registration link so it can be shared directly with the team member.

  • Canceling the verification links deactivates all pending registration links.
